Overview

Aktend brings electronic document management (EDMS/DMS), workflows, a form designer, official correspondence, records and archiving, and governed AI into one task-centred SaaS. Each tenant can bring its own storage and its own AI provider. I build both the .NET backend and the Next.js tenant application.

The problem

Organisations handle document capture, approvals, incoming/outgoing correspondence, retention and search in separate tools, which makes them slow and hard to audit.

  • Tenant administration: storage, AI and signature providers, document types, metadata, units, teams, roles and audit
  • A separate platform admin app for tenants, plans and feature policies

Architecture

  • .NET 8 backend split into domain contexts: documents, workflow, records, intelligence, integrations, tenants, collaboration, communication and paywall
  • Two API hosts — one for platform administration and one for tenants
  • Shared-schema multi-tenancy: every key is (TenantID, ID) and storage keys and search indexes are tenant-prefixed
  • Background jobs for notifications, webhooks, SLA tracking, OCR and AI queues
  • Pluggable providers for storage, OCR, search, LLMs and e-signature; real-time notifications over SignalR

Technical challenges

  • Enforcing tenant isolation at every layer: database keys, file storage, search index and AI retrieval
  • An upload → OCR → per-tenant search index pipeline that degrades gracefully when search is unavailable
  • Provider abstractions so legally valid e-signature and storage providers can be added per tenant
